Occupational Summary Functions as an essential member of the Education Team sharing in aspects of the management and administration of GME programs (residents and fellows) including planning and coordinating academic and operational activities in compliance with GME goals and objectives as appropriate. The Clerkship Program Coordinator manages all Medical Students rotating with the Obstetrics and Gynecologic team. This position is responsible for ensuring that the students achieve all required tasks in order to successfully complete their rotation. That includes presentations, evaluations, rotations, Shelf exam, Pelvic Exams, etc. In conjunction with the Department of OB-GYN Chair, Vice Chair of Education, Program Directors, and Program Manager, the Program Coordinator shares in the implementation and compliance of all aspects of the management and administration of Undergraduate Medical Education programs in the department and shares responsibility for other department educational programs. The Clerkship Program Coordinator may perform duties including but not limited to the administration and management of the programs as well as planning and coordinating academic, operational, and financial activities; assist in the development, implementation, and ongoing compliance with the programs' goals and objectives, monitor and bring to attention any changes in national requirements, and provide sound guidance and advice regarding significant training program issues. Work Performed * Administration and management of all UME programs, including clerkship, sub-internships, visiting observers, shadowing, NP, PA, PCLT, LIC, career goal advising, and the fourth year boot camp, etc. * Planning and coordinating academic, operational, and financial activities * Assist in development, implementation, and ongoing compliance with the programs' goals and objectives * Monitor and bring to attention any changes in national requirements * Provide sound guidance and advice regarding significant training program issues * Maintain knowledge of current rules and regulations to comply with ACGME, LCME and institutional requirements * Provide management assistance to Program Directors, faculty, students, residents, fellows and other departmental staff by supplying shared clarification of organizations and departmental policies, standards, operational procedures, and guidelines * Provide appropriate leadership and guidance in conjunction with the Vice Chair of Education, Education Program Manager and Program Directors for the overall operation * Organize team meetings and departmental activities as required * Manage all financial aspects of education division, including submitting reimbursement requests for GME and clearing of education procurement cards * Compute final grade sheet scores for Director's approval prior to entering * Ensure evaluations are completed * Coordinate medical students rotations, student presentations, mid-term assessment chats, faculty lecture schedules and workshops; ensure rotations do not overlap and conflict student schedules; ensure faculty are able to lecture on appropriate dates/times and adjust schedule accordingly * Maintain all Sakai sites in relation to Undergraduate Medical Education, including the clerkship and sub-internships * Serves as principal liaison with various administrative units of the University, such as Office of Curricular Activities, Registrar and Graduate Medical Education, etc. * Oversee implementation of administrative decisions and the maintenance of official records of program and related committee activities * Act as liaison and collaborate with Marketing /Communications for educational content and programs * Participate and/or lead event planning related to education * Contribute to the OB/Gyn Weekly News Letter * Update content on the digital monitor * All other duties as assigned * Required Qualifications Education/Training: Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program. Experience: Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE A minimum of three (3) years administrative experience is preferred. Strongly preferred in medical education. Familiarity with Med Hub, Qgenda, and Blue Docs. Experience with and knowledge of budgetary and financial processes. Maintain continuing education by presenting and attending local, regional, and national meetings. Skills: Must be detail-oriented to consistently ensure the programs and fellows compliance with several regulatory entities. Must have a demonstrated ability in efficiency and time management to work under pressure in regard to meeting regular, simultaneous deadlines for various individuals, organizations, and institutions. A proven capability to work comfortably with learners in medical education, physicians, administrators, and other healthcare providers at all levels. Skill in managing assigned projects related to education and healthcare, such as special programs and events, which require significant multitasking. Proficiency in Microsoft Office suite, excellent verbal and written communication skills, strong organizational abilities, dependable and trustworthy.
