With about 40,000 employees, Duke is the third largest private employer in North Carolina, and it now has international programs in more than 150 countries.BASIC FUNCTIONS: Under the direction of the Business Manager maintain financial reports related to the operations of the Duke Lemur Center. This may include, but not be limited to, tracking expenses for multiple departments, preparing purchase orders, reconciling expense and revenue reports, grant administration, interacting with Duke financial departments (accounts payable, purchasing, ORS, etc.) to provide the DLC's administration with current and accurate financial information and to maintain compliance with all Duke financial policies. The Duke Lemur Center is a dynamic, fast-paced work environment that requires open communication and the ability to work effectively in a team setting and independently.PRIMARY JOB DUTIES AND RESPONSIBILITIES:* Support administrative activities of the Lemur Center and provide adequate reference of data, documentation, procedures, and processes.* Maintain liaison with appropriate Central Management, university departments, and outside vendors to be able to obtain as well as answer inquiries based on your knowledge of the Center activities.* Assist the various Center departments (Fossils, Research, Veterinary, Husbandry, Education, and Volunteer/Student Projects) with support in Concur, Purchasing, and Accounts Payable.* When requested, track payments in the Purchasing and Accounts Payable process.* Compile and analyze information in support of assigned Center activities, prepare reports monthly.* Advise Business Manager on the status of current activities, additional or expanded program requirements and appropriate recommendations for solution to problems.* Assist the Business Manager with determining budgetary recommendations and requirements, by monitoring, verifying and reconciling expenditures of budgeted program accounts including federal and foundational grants.* Support grant development by providing financial information as requested and working with ORS to ensure compliancy before submission and well as financial management after awarded.* Monitor, prepare and process the monthly receipts received on the Madagascar Bank Account in the necessary format for general ledger processing.* Prepare the required Quarterly reconciliations to Treasury & Cash Management on the Madagascar Bank Accounts.* Process wire transfers as needed to the Madagascar Bank Account.* Prepare and deliver weekly or as needed deposits for gift records with required backup documentation.* Prepare and deliver weekly or as needed deposits from our Lemur Landing Gift Shop.* Reconcile the credit card charges onsite as well as those from Cvent between Elavon, Cybersource and SAP.* Be available to assist and/or support various Center events, including fundraising, volunteer, and revenue generating.* Perform other related duties incidental to the work described above.DESIRED SKILLS:* Applicant should be able to use various Microsoft and Adobe Programs (Excel, Word, Outlook, Publisher, and Acrobat)* Familiarity with the Duke Financial systems, SAP (reports and JV processing), Concur, and AP Check Request is preferred.* Familiarity with the Sponsored Programs System as well as Grants.gov, Research.gov, or any other submission systems is preferred.* Research Administrative Academy (RAA) certification and/or enrollment with next offering after accepting position will be required.Minimum QualificationsEducationWork requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.ExperienceWork generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
