Occupational Summary:

The Staff Assistant will provide administrative and clerical support to the Duke Department of Biochemistry. The person in this position will interact with faculty, staff, and students internally and external to the department as well as assist with research (RNA Center), education initiatives (summer scholars program) and outreach efforts related to Biochemistry. This position will also serve as the primary point of contact for Biochemistry when people enter the main office.

Responsibilities:

* Assist the business manager, chair and faculty with tracking the students and finances of the new summer scholar education initiative and Brennan-Schumacher lab program * Assist the department with administrative duties including scheduling assistance for meeting requests, scheduling committees, classes and other items as needed * Respond to Biochemistry Emeritus faculty emails, requests and assist them with other tasks as required to include monitoring financial accounts * Submit orders and track requests for keys and access to buildings for Biochemistry as well as building/labs with requests to include work orders, building/card access requests * Order and maintain supplies for the department to include graduate programs * Set up conference room and parking space reservations * Schedule community-building events for the department (e.g., events, annual retreat if scheduled). * Assist Director of the RNA center with responsibilities * Initiate expense reports, financial forms and clearing procurement cards for the department * Perform other related duties as assigned.

Education & Training:

Work requires a broad knowledge of administrative/secretarial, financial and accounting principles and practices normally acquired through two years of post-secondary education.

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

The successful candidate will demonstrate the ability to multitask and excellent time management skills. This person should have the initiative to support the Department with administrative and financial tasks with minimal instruction. This position requires excellent written and oral communication skills. Familiarity with undergraduate education and/or scientific research preferred.
