Job Description:

Job PurposeProvide administrative help to the administrative manager, branch manager, salesmen and provide support to counter sales when needed. Essential Duties & Responsibilities Routinely provide courteous telephone and visitor reception in both English and Spanish, when necessary.Restock office supply closet, also ordering business cards for entire company.Organize the branch's social events.Provide administrative support to sale's department.Responsible for processing and filing invoices, purchase orders and accompanying documents.Invoice closed jobs which may involve investigating leases and returns for missing equipment.Process payments for Cash on Demand (COD) clients.Mail out invoices and/or tally sheets in a timely fashion.Help with the marketing department.Print and distribute promotional material.Help with customer giveaways.Assistant with social media development.Maintain master customer mailing and email lists.Be knowledgeable in store products in order to occasional assist the front counter with sales when counter salesman or branch manager is busy with customers or is absent; includes taking orders from customers, documenting these orders with the necessary paperwork, invoicing the customers, filing all the paperwork, and advising the Warehouse Supervisor of such orders.Make travel arrangements and fill per diem requests for contract services department.Undertake other duties or special tasks as assigned by the Administrative Manager or Branch Manager.Minimum QualificationsHigh School Diploma or equivalentMust be bilingual in English/SpanishStrong Customer Service skillsComputer Skills (Word, Excel, Outlook)Positive Attitude/Ability to work as a teamProfessional AppearanceExperience in customer service a plus Other requirements Quick learner who can handle different functionsAbility to multi-task and remain organizedMaintain a stocked and clean officeMaintain Petty cash and daily depositsReconcile & file paperwork dailyConstantly improve product/industry knowledge to better assist customers.
