Perform administrative and secretarial duties of a highly
confidential nature. Must have ability to exercise sound judgment,
maintain confidentially, take initiative, and be flexible and
professional at all times.
Answer telephone lines for a staff of 30, take accurate messages,
respond to questions in accordance with general instructions and
office procedures and policies. Respond independently to general
inquires when appropriate, maintaining strict confidentiality
regarding sensitive matters, and make swift and accurate judgments
in forwarding inquires and requests to attorneys or other offices
in the University and Health System.
Manage complex conference room schedules for outside counsel
meetings, arbitrations, mediations, and confidential meetings with
clients using the upmost discretion.
Screen and route mail and documents; ensure that all lawsuits,
subpoenas and requests for documents are routed to the correct
attorney, and required signatures are received.
Monitor the Office of Counsel website email to ensure that all
inquires/requests are forwarded to the appropriate attorney and
responded to in a timely manner.
Organize and maintain legal subscriptions housed in Office of
Counsel. Maintain up-to-date management and procedural manuals, and
bring significant items, changes, errors or omissions to the
attention of the supervisor.
Manage and maintain office supplies for department. Reconcile
departmental budgetary records for supplies and equipment, prepare
budgetary projections and recommendations based on instructions and
