team that will coordinate logistics for major fundraising events,
in person and/or virtual events. Also, responsible for organizing
and motivating volunteers; assisting with logistics of auxiliary
fundraising events; coordinating event administration, schedules,
and meetings; controlling inventory/implementation of marketing,
presentation, or fundraising materials; and preparing financial or
operations reports.Responsible for ensuring sponsorship fulfillment
of benefits, securing and coordinating all vendor relationships,
and ensuring AHA policies and procedures for events are

heart.org.ResponsibilitiesSome of your responsibilities will
include (but not limited to):Manage a team of 9 Event Planning
Coordinators (EPC) and facilitate weekly 1:1 meetings to track
progressParticipate in the hiring process for vacant positions and
act as the lead for onboarding and trainingCollaborate with
internal and external stakeholders to track and provide feedback on
performance for all team membersEnsure accuracy and adherence to
the latest policies and practices of the Association as they relate
to fiscal and event financials.Prepare and communicate schedules,
meetings and ensure deadlines are met. Ensure markets are meeting
deadlines for successful event production.Prepare and maintain
fundraising materials and presentations as well as event collateral
and marketing material.Assist EPCs with coordinating and
collaborating with vendors or volunteers to execute logistics for a
large fundraising event or multiple smaller events such as Heart
Walk, Go Red for Women, Heart Ball, and Cycle Nation including
infrastructure, lighting, sound, food and beverage, etc.Assist EPCs
with coordinating the vendor contract process for assigned events
to ensure that each site is following American Heart Association
best practices, guidelines and procedures. Track vendors' adherence
to contractual obligations and perform as agreed upon.Event travel
is required (approximately 25%)QualificationsSome college and 2 to
5 years of experienceAdministrative support experience in related
environment; broad knowledge and understanding of event
managementExcels at organization of workflow, calendars, time
management.Demonstrated ability to work in a team environment with
minimal supervision.Ability to prioritize and develop solutions for
effective decision making.Proficient with all Microsoft Office
