ASSOCIATE DIRECTOR, EDITING, DESIGN & PRODUCTION, DUKE PRESS Requisition Number:: 108048 Date: Apr 2, 2021 Location: Durham, NC, US, 27710 Duke University: Duke University was created in 1924 through an indenture of trust by James Buchanan Duke. Reporting to the Director of Duke University Press, and working in close conjunction with the other strategic managers and functional directors who each oversee large areas of the Press's operations, the Assoc. Director of Editing, Design, and Production envisions and oversees the print and electronic publishing processes for all Press publications, including primarily books and journals but encompassing also any other material the Press may publish. Functional teams reporting to the Director of the Editing, Design, and Production group (each one with its own manager or senior manager) include separate teams focused in the areas of Editing, Design, and Production. Description of Job Responsibilities I. Oversee the Creation of DUP Books, Journals, and Other Publications , including manuscript editing, design, e-file creation, and production

  • Direct the work of the entire manuscript editorial, design, and production staff through supervision of the three group managers; monitor performance; determine staffing needs.
  • Establish editing, design, production, manufacturing, and e-file processes and standards; communicate changes to staff; ensure documentation of processes and procedures; manage compliance with established procedures so that EDP runs smoothly and quality standards are met.
  • Set the standards and ensure compliance for managing author/editor relations so the authors and editors of DUP books and journals are aware of schedules (including schedule delays) and other relevant information regarding the publication of their material; provide guidance to managers and staff on priorities.
  • Monitor staff workloads; review and balance work assignments; outsource work as necessary; hire new staff as necessary; reassign work as necessary.
  • Choose vendors and manage vendor relationships to ensure quality and schedules.
  • Prioritize and accommodate scheduling needs, taking into account the wishes and needs of the authors, editors, and sponsors of DUP books and journals; and also the wishes and needs of marketing and sales (including revenue needs). Determine feasible publication dates; then ensure that original and current schedules are tracked and reported on regularly to all staff who need such information. II. Oversee Manufacturing (printing and reprinting) and Inventory Management for all Press Publications
    • Based on sales projections, determine the initial printer and the quantity to be printed for all Press publications.
    • As stock dwindles, oversee the identification of titles and quantities for reprinting; source manufacturing of the reprints appropriately, utilizing POD, offset, and digital printing to fulfill appropriate quantities and business needs.
    • Choose vendors and manage vendor relationships to ensure appropriate quality and schedules.
    • Ensure that files are archived for ease and speed of reprinting as well as for all electronic publishing uses.
    • Continually monitor changes in equipment and capability with vendors; monitor costs and look for cost savings; standardize DUP work as possible to take advantage of cost savings and quick turnarounds offered by print vendors.
    • Communicate with staff about changes in process, changes in opportunities, and changes in customer needs. III. Oversee Budgeting and Cost Management for the EDP Group and for All Press Publications
      • Create and oversee departmental EDP budgets; manage expenses; review monthly budget reports.
      • Actively manage and continually work to lower costs for all services that EDP purchases: freelance, typesetting, printing, e-files, XML.
      • Identify cost savings in reprint and inventory management, balancing stock need with fulfillment need and staff overhead requirements.
      • Manage invoice review and approval process; ensure that invoices are paid expeditiously; teach staff how to query invoices.
      • Ensure that staff are aware of costs and balance schedules, aesthetics, and quality with costs.
      • Choose vendors, monitor costs, set up service-level agreements, monitor quality, understand vendor capabilities, and make careful choice and use of vendors for achieving in each instance the best combination of costs, schedule, and quality.
      • Monitor and track technology advances with vendors to incorporate what they define as best practices into DUP's EDP practices, so as to work more efficiently with vendors, improve processes, and lower costs. IV. Lead the EDP Group's Strategic Planning ; foster continual process improvement and innovation; support change management; plan projects; organize and reorganize the allocation of departmental resources.
        • Develop long-term plans and short-term goals for the EDP group, accounting for internal needs, marketing and sales needs, and technology needs and changes.
        • Incorporate knowledge of different publishing formats into planning and strategy.
        • Work with vendors to learn, teach, and change workflows between vendors and EDP as needs of print and digital and e-formats evolve.
        • Set up parameters of project management for continuous process improvement for the sake of internal efficiency, eliminating redundancy, meeting customer needs, and meeting schedules.
        • Coach and mentor staff through change; communicate strategy; encourage participation; direct changes where direction is needed.
        • Oversee new and evolving initiatives in electronic publishing in EDP and collaborate with other departments on strategic digital projects. V.--Participate in Press Administration as a Strategic Manager and Functional Director
          • Along with the Press Director, take the lead on strategic planning for the Press.
          • Communicate Press mission, goals, policies, and other relevant information to departmental staff on an ongoing basis.
          • Work collaboratively with the other strategic managers and functional directors; resolve conflicts as needed, bringing them to the Press Director if that is deemed necessary; discuss frictions and eradicate roadblocks to working efficiently across internal groups and teams; prioritize the best interests of the Press over the specific interests of individual DUP work groups. Minimum Qualifications Education Bachelor's Degree in a related area, or an equivalent combination of relevant education and professional experience, and working knowledge of administrations, operations, or publishing.
