ADMINISTRATIVE SPECIALIST Req ID: 10977 Date: Oct 1, 2019 Location: Durham, NC, US, 27710 Personnel Area: DIN/Connected Care Duke Connected Care, a community-based, physician-led network, includes a group of doctors, hospitals and other healthcare providers who work together to deliver high-quality care to Medicare Fee-for-Service patients in Durham and its surrounding areas. General Description Provide high level administrative support to the (1) Vice President, Population Health Management, DUHS and Executive Director, PHMO; and (2) Chief Medical Officer, PHMO. Duties and Responsibilities of this Level * Responsible for coordinating meetings and events for the PHMO Executive Director and Chief Medical Officer including management of multifaceted calendars, all travel arrangements, reimbursements and associated preparations. Scheduling responsibilities include, but are not limited to: * Accuracy in scheduling meetings. * Coordination of multiple large group board/executive/JOC/payer meetings on a routine basis; including coordination of any related arrangements (ie, meeting space, travel, materials). * Participation in multiple board/executive meetings; composing and distributing agendas, materials and minutes. * Proactively reviewing calendars in advance to identify and correct potential conflicts, and prepare any necessary materials. * Coordination with other support staff to ensure accurate management of schedules and meetings * Responsible for independently planning, coordinating and/or overseeing all logistical arrangements for internal and external meetings, conferences, and PHMO events. * Responsible for supervision of PHMO administrative staff (3); ensuring the coordination of work/projects and the timely completion of tasks. In addition to the daily supervision, this responsibility also includes ongoing, routine meetings with staff; mid-year and yearend performance evaluations. * Responsible for developing and maintaining advanced presentation materials; independently create and update documents, materials, reports, spreadsheets, power point presentations, Visio workflows and other materials at the intervals requested. * Compile and manage data; create and update reports. * Serve as a source of information to staff and visitors; prioritize and resolve inquiries (phone, , in-person). In addition, serve as liaison between the department and external groups. * Coordination of communications between PHMO leadership and other professional/ administrative staff, both within and external to the PHMO. Coordination and completion of special projects as requested. Preferred Education High school education or equivalent with five years of administrative support experience of increasing variety, complexity and demonstration of work leadership. Preferred Knowledge, Skills, and Abilities * In-depth knowledge of department policies, procedures, and goals as well as administrative support in completing complex tasks. * Demonstrated understanding of basic leadership approaches such as work scheduling, prioritizing and coaching. * Demonstrated success applying highest level of administrative skills. * Demonstrated ability to gain the confidence and cooperation of peers. * Demonstrated editing and proofreading skills. Minimum Qualifications Education High school education or equivalent with five years of administrative OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. support experience of increasing variety, complexity and demonstration of work leadership. Two years postsecondary education with three years of experience.
