Job Description

Communication:

  • Receives and routs all incoming calls, visitors, and couriers
  • Receives visitors and responds to their needs
  • Acts as a communication point for vendors, company support services, and landlords
    Office Management:
    • Assists in ordering office supplies and maintains inventory
    • Assists with office-based printing needs (study-related documents and materials, business cards, letterhead, etc.)
    • Assists in liaising with office vendors (cleaning service, courier companies, office supplies, maintenance, etc.)
    • Assists with space planning, furniture inventory and requisitions
    • Assists in maintaining schedule for Conference Room usage
    • Assists in the setup and breakdown of special events in the office
    • Provides assistance for any issues with office equipment (copiers, coffee machine, etc.)
    • Other assignments, as deemed necessary
      Travel:
      • Assists with transportation and hotel accommodations for office visitors
      • Assists with travel arrangements for employees (airlines, hotel and car rental)
      • Security and Access
      • Oversees access to building via responsibilities in Section 1
      • Responsible for ensuring visitors are admitted in accordance with Visitor Access Policy
      • Assists with ID badging and security level tracking

        Qualifications

        • College or university degree or an equivalent combination of education, training and experience that presents the required knowledge, skills and abilities is considered sufficient.
        • Previous administrative experience is a must
        • Prior experience in an international company is a plus
        • Basic proficiency in MS Office
        • Basic typing skills in English (min. 40 words per minute)
        • Planning, organizational, and administrative skills
        • Presentation and communication skills
